View Employee Personal Information

Overview

As a manager, you can view and update some personal and work information for your direct reports. Specifically, you can view Employee Name, Employee ID, Hire Date, Job Code, Company, Business Unit, Department, Location, Regular/Temporary status, and Full/Part Time status.

 

You can view additional information, such as an employee’s email addresses, phone numbers, and emergency contacts. You can also make updates to items like I-9 documentation, Visa permit data, work location, or Reports To Manager.
Personal information for your direct reports is available to you as a manager for emergency, business-related purposes. This information should not be shared with anyone who does not have a business need-to-know.

Step Actions

The step actions for completing a transaction are presented in two ways: Text Only and Screen Samples:

  • Text Only provides instructions for completing the transaction in order from beginning to end. It does not include screen samples.
  • Screen Samples include detailed screen shots to help complete the transaction.

Introduction

As a manager you can access and update some personal and work information for your direct reports.

Step Actions

The step actions for completing a transaction are presented in two ways: Text Only and Screen Samples:

  • Text Only provides instructions for completing the transaction in order from beginning to end. It does not include screen samples.
  • Screen Samples include detailed screen shots to help complete the transaction.

Text Only Step Actions for Viewing Employee Personal Information

Follow the steps below to view employee personal information.

 

Steps

 

  1. Select the Manager Self-Service link from the left navigation.
  2.  

  3. Select the View Employee Personal Information drop-down menu. The View Employee Information page is displayed. A list of employees is displayed with the current date as the As of date.
  4.  

  5. Select the specific employee from the generated list by clicking the button to the left of their name.
  6.  

  7. Click the link specific to the information you wish to view.

     

    Helpful Hint: Click the Return to Employee Information link to select a different type of employee information.

     

  8. Click the Return to Select Employees link to select a different employee.

  1. Select the Manager Self-Service link from the left navigation.
  2.  

  3. Select the View Employee Personal Information drop-down menu. The View Employee Information page is displayed. A list of employees is displayed with the current date as the As of date.

    Helpful Hint: Click the Return to Employee Information link to select a different type of employee information.

Employee Personal Information Screens

Home and Mailing Address

Email Address

Click the Email Addresses link. The Email Addresses page displays. Click the Return to Employee Information link to select a different type of employee information.

 

Helpful Hint: If there is no email address listed, then the employee has not been assigned an email address by the agency email exchange administrator. Contact your agency email exchange administrator to update the employee's email address.

Phone Numbers

Click the Phone Numbers link. The Phone Numbers page displays. As a manager, you can edit an employee’s business phone number. Click the Return to Employee Information link to select a different type of employee information.

 

To edit an employee’s business phone number, enter the new number in the Telephone field corresponding to the Business Phone Type. Then, click the Save button to save the updated phone number. The updated phone number will display in your view of the employee’s information and via the Employee Directory that all employees can access from the CAPPS left navigation menu.

 

The employee may update his or her phone numbers through CAPPS as well.

Helpful Hint: The employee may refer to the My Profile User Guide for instructions on updating his or her phone numbers.

Emergency Contact

Click the Emergency Contacts link. The Emergency Contacts page displays. Click the Contact Name to see the details of the Emergency Contact. Click the Return to Employee Information link to select a different type of employee information.

Click the link for the contact name that you want to view. The Emergency Contact Detail page displays.

Birthday

Click the Birthday link on the Employee Information page. The Birthday page displays. Click the Return to Employee Information link to select a different type of employee information.

I-9 Documentation

Click the I-9 Documentation Update link. The I-9 Documentation page displays. Click the Return to Employee Information link to select a different type of employee information.

  • The employee must first complete the Employee Information and Verification portion of the I-9 before you will have access to the Employer Review and Verification page. Refer the employee to the My Profile User Guide for assistance.

  • As a manager, you may need to update this information for a new employee if it was not available at the time of hire.
  •  

Visa/Permit Data

  • As a manager, you may need to update this information for an employee who is not a United States citizen.

Change Location

Key Things to Remember

Service Center Information:

 

  • The Service Center operates between 7:00 a.m. and 7:00 p.m. Central Time, Monday through Friday. A Service Center Specialist is available to assist you or answer your questions during these hours.
  • You may contact the Service Center at 1-888-TX-HHS-HR (1-888-894-4747), or TDD/TTY for the Hearing Impaired 1-866-839-2747.
  • You may email your questions directly to the Service Center by selecting Ask Service Center on the CAPPS home page (must be logged in) using the online form to enter and submit your questions.

 

View Employee Personal Information:

 

  • You can also access this information by clicking View Employee Information from the main Manager Self Service page.
  • An employee’s personal information is available to managers for emergency, business-related purposes. This information should not be shared with anyone who does not have a business need-to-know.
